Role description:Responsible for the day-to-day operation of the office, including managing schedules, ensuring compliance with company policy, and providing administrative support.
Role accountabilities:- Provides support to the team's daily office operations, ensuring smooth running of the office environment, managing administrative tasks and supporting the needs of various team members as needed.
- Provides leadership support to the Project Director and Construction Director in respect to the activities on site.
- Liaises with the Client, Contractor, etc., using different communication modalities.
- Develops and implements office policies and procedures to ensure consistency, efficiency and compliance with organizational standards.
- Drafts and carries out replies, memorandum, correspondence, guidelines, etc.
- Manages the team's budget, expenses and financial performance. This includes budgeting, forecasting and cost control.
- Leads in organizing team's events, meetings and conferences.
- Tracks the team's progress for compliance purposes and to meet Head Office and Client's deadlines.
- Manages office records, files and documentation. Implementing systems for document storage, retrieval and organization to ensure efficient information management.
- Oversees IT-related tasks such as equipment set-up, software installations, troubleshooting technical issues and coordinating with IT support operations effectively (working with Local IT Specialist).
- Serves as a point of contact for employees regarding office-related inquiries, concerns and requests.
- Responsible for submission of job requisition for hiring of staff and works closely with the new staff for new roles and requirements.
- Graduate of Bachelor's degree in any Business related course
- At least five (5) years of experience in office management
- Excellent written and verbal communication skills
- Team player
- Strong time management and people skills, high degree of flexibility, and excellent multitasking ability
- Proficient in MS Office applications
- Ability to maintain confidentiality of company information
