The Document Management Officer will play a key role in overseeing a document cleanup and migration project, ensuring records are properly inventoried, organized, and prepared for transition into a new digital policy hub. This position requires strong attention to detail, excellent project execution skills, and experience in data extraction to support smooth and accurate migration.

Responsibilities
  • Conduct a comprehensive audit and inventory of company records (physical and digital).
  • Lead the cleanup and organization of document repositories, identifying duplicates and obsolete records.
  • Prepare and validate documents for migration into the new policy hub, ensuring accuracy and compliance.
  • Perform data extraction and validation to support system migration and ensure records integrity.
  • Document the migration process, challenges, and solutions; prepare procedural guides for future use.
  • Work closely with project teams and department heads to ensure proper handling of all documents.
Qualifications
  • Graduate of a four (4) year course in Business, Finance, IT, or related field.
  • Proven experience in document management, records management, or administrative roles.
  • Strong background in data extraction, large-scale data cleanup, or migration projects.
  • Proficiency in Document Management Systems (DMS), Content Management Systems (CMS), and MS Office/Google Workspace.
  • Highly detail-oriented, organized, and able to meet deadlines.
