About the role

We are looking for a Documentation Liaison Officer who will ensure the accurate, timely, and complete processing of client and company documents. This role is responsible for handling and facilitating the preparation, routing, and delivery of legal and government documents related to vehicle registration, mortgage cancellation, ownership transfers, and company vehicle renewals.

What you'll be doing?

  1. Documentation

  2. Prepare, arrange, and maintain client and loan documents in an organized and secure manner.

  3. Coordinate with government agencies, partner institutions, and internal departments for document validation, submission, and retrieval.
  4. Ensure all documentation requirements are complete and compliant before submission.
  5. Monitor document status and maintain accurate filing and tracking systems.

  6. Liaison Work

  7. Registry of Deeds Transactions: Process and deliver documents for the entry and cancellation of Release of Mortgage and handle duplication of LTO Certificates and ownership transfers.

  8. Chattel Mortgage Processing: Transact and deliver Chattel Mortgage documents for documentary stamp processing to the BIR or partner banks.
  9. LTO Registrations & Renewals: Facilitate the renewal of registrations for company-owned and repossessed vehicles under car loans.
  10. PNP Clearance & Leasing Coordination: Secure PNP clearance for motorcycle accounts and units for lease or transfer.
  11. Document Notarization: Process notarization of legal documents such as Credit Line Agreements, Joint Solidary Statements, and ownership transfers.
  12. Documentation & Reporting: Submit daily itineraries and reimbursement reports for documentary expenses.

What we're looking for?

  • At least College Level or Graduate of any business-related or administrative course.
  • Preferably with 1 year of experience in liaison or documentation work.
  • Familiar with LTO, BIR, and Registry of Deeds processes.
  • Proficient in Microsoft Office applications (Word, Excel)
  • Detail-oriented, organized, and can work independently with minimal supervision.
  • Willing to do fieldwork and can drive a motorcycle (advantage).
  • Willing to be assigned in Makati City.
