Overview Administration Assistant at TOA Global – Clark Freeport and Special Economic Zone, Central Luzon, Philippines. Responsibilities Provide administrative and clerical support to external clients and internal colleagues (e.g., accountants and partners). Maintain and organize documents and workflows; answer inquiries as appropriate. Top daily tasks include answering and routing calls to the proper department. Compile and manage client documents for e-signing through Annature (mainly tax returns and financial statements). Manage the ASIC lodgement program through NowInfinity; manage inbound and outbound ATO correspondence via ATO SmartDocs; manage ATO lodgements through Xero Practice Manager. Onboard clients across the application stack; data entry as required when onboarding new clients. Provide office support; keep the document manager and other databases up to date. Interact with clients and colleagues by phone or email; manage invoicing through Xero Practice Manager and Xero Blue. Prepare documents (e.g., letters); triage partners’ emails; manage client document e-signing (tax, financials, ASIC). Suggest improvements to office efficiency; perform other ad hoc administrative tasks as required. Qualifications Written English communication skills. Ability to work to deadlines; proactive, self-motivated and organized. 3+ years’ experience in a similar role.
