OverviewHR Admin position handling recruitment, HR administration, and related processes. Adhere to safety and confidentiality while delivering admin support and recruitment activities.
Responsibilities- Safety : Perform all duties in a safe manner, taking reasonable care for your own health and safety, as well as that of others, in accordance with applicable legislative requirements.
- Recruitment : Conduct initial screening of candidate resumes based on role-specific criteria and provide shortlists to the Recruitment Advisor.
- Coordinate and schedule interviews between candidates and hiring managers across multiple time zones using calendar tools.
- Draft and send interview invitations, confirmations, and feedback emails. Respond to candidate queries promptly and professionally.
- Maintain accurate and up-to-date records; post job advertisements on relevant job boards, websites, and social media channels as directed.
- Assist in conducting reference checks and gathering necessary pre-employment documentation.
- Provide general administrative assistance to the Recruitment Advisor as required.
- HR Administration : Attendees must have the necessary paperwork checked and verified prior to entering the induction session in the training room.
- Complete visa checks, police checks and reference checks for all candidates preparing for commencement.
- Create employee profiles on the HRIS and submit action files to the relevant Operations Assistant, the same day as the induction is completed.
- Complete all required new starter paperwork before the employee commences.
- On a weekly basis, produce the Visa Expiry Alerts report and advise relevant Managers of up‑coming visa expiries, ensuring only staff with appropriate working rights are employed.
- Process termination forms in HRIS and forward to the Training Coordinator as needed.
- Technical :
- Computer literate with intermediate to advanced skill in operation of Word, Excel, Office
- Data documentation and cloud-based storage
- Demonstrated ability to communicate at all levels
- Prioritisation of workloads with conflicting demands across various areas
- Highly organised with superior time management skills
- High level of attention to detail
