The Executive Assistant (EA) provides direct support to the CEO across all aspects of business management and personal administration. The primary goal is to act as the CEO’s mirror —to organize, filter information, and manage administrative and operational tasks to significantly reduce the CEO’s workload. This role requires utmost discretion, proactive thinking, and high availability. Responsibilities Executive & Administrative Management Calendar & Email Management: Expertly manage complex calendars, prioritize meetings, and filter all inbound/outbound communications (email, calls, texts) across all businesses. Travel & Logistics: Organize all aspects of business travel (flight/accommodation booking, detailed itinerary planning). Meeting Management: Prepare all meeting materials and take detailed minutes, focusing on tracking action items and ensuring accountability among team leads. Document Control: Manage, organize, and archive highly confidential files, contracts, and business documents. Operational Liaison & Financial Support Vendor/Client Coordination: Serve as the CEO’s primary point of contact for external vendors, suppliers, and business partners. Expense Tracking: Process the CEO’s expense reports and monitor the budget for personal and executive expenditures. Inter-Office Communication: Liaise with team managers and leads across businesses to ensure the CEO’s directives are clearly communicated and executed. Personal Administration & Digital Presence Social Media Support: Manage the CEO’s professional social media channels (e.g., LinkedIn, professional Instagram), including scheduling posts and drafting responses that align with the executive’s voice. Personal Errands: Handle personal errands and appointments for the CEO that are connected to their professional life (e.g., reservations, schedule coordination for related personal matters). Research & Reporting Information Filtering: Conduct quick, targeted research and summarize findings concisely for the CEO’s decision-making. Report Generation and Data Analysis: Oversee and compile critical monthly and quarterly performance reports from all business units for CEO review and analysis. Qualifications Education: Bachelor’s degree in Business Administration, Management, or a related field is preferred. Experience: Minimum of 1-2 years of proven experience as an Executive Assistant, Personal Assistant, or Administrative Officer, ideally in an environment supporting a high-level executive or a multi-business owner. Exceptional organization and high attention to detail. High confidentiality and integrity are non-negotiable. Proactivity: Must be able to anticipate the CEO’s needs and solve problems independently. Flexibility & Availability: Must be highly flexible and willing to be on-call to address urgent executive and operational needs outside of standard hours.
