About the Role

We are looking for a highly organized, resourceful, and dependable Executive Assistant to provide full support to the CEO This role is critical in ensuring that the company's operations, projects, and administrative tasks run efficiently and on schedule.

The ideal candidate is a college graduate with previous experience as an Executive Assistant or Virtual Assistant—preferably someone who has worked in a corporate or multinational environment and is confident in handling a fast-paced, dynamic workload.

You will act as the CEO's strategic right hand — managing schedules, tracking tasks, organizing meetings, and ensuring that all projects and deliverables are moving forward smoothly.

Key Responsibilities

1. Meeting & Task Management

  • Attend meetings and take clear, detailed minutes.
  • Document all assigned tasks per staff member, monitor progress, and follow up regularly.
  • Provide consistent status updates and reminders to ensure accountability and completion.

2. Calendar & Scheduling

  • Manage the CEO's calendar, set appointments, and coordinate internal and external meetings.
  • Anticipate scheduling needs and handle any changes or conflicts efficiently.

3. Travel & Logistics

  • Arrange all travel requirements including flight bookings, accommodations, visas, and itineraries.
  • Ensure seamless coordination for both local and international business trips.

4. Project Coordination

  • Assist in overseeing company projects and ensuring timely completion within set deadlines.
  • Maintain a clear timeline of deliverables and proactively track progress.

5. Communication & Reporting

  • Draft and proofread professional emails, letters, memos, and presentations in English and Tagalog.
  • Prepare daily or weekly updates summarizing company activities, pending issues, and priorities.
  • Serve as a reliable point of contact between the CEO and internal/external stakeholders.

6. Administrative & Executive Support

  • Handle confidential information with utmost discretion.
  • Act as a "runner" for urgent or ad-hoc tasks the CEO or management may need done.
  • Support the CEO in ensuring day-to-day operations are running smoothly and efficiently.

Qualifications

  • Bachelor's Degree (required).
  • Minimum 3 years of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative support role.
  • Preferably with experience in a large corporation or multinational organization.
  • Excellent written and spoken communication skills in both English and Tagalog.
  • Strong ability to draft emails, reports, and presentations with professionalism and accuracy.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Proficient in Google Workspace, Microsoft Office Suite, and project management tools (e.g., Asana, Trello, ClickUp).
  • Trustworthy, proactive, and capable of working independently with minimal supervision.
