Job Summary:

Reporting directly to the President & CEO, the Executive Assistant offers dedicated one-on-one support and acts as the main liaison for both internal and external stakeholders on all issues related to the President's Office.

Key Responsibilities

Strategic/Tactical:

  • Handles a wide range of administrative duties for the President & CEO, including managing the appointment calendar, preparing documents and meeting minutes, completing expense reports, arranging travel, and performing other necessary tasks.
  • Plans, coordinates, and ensures the CEO's schedule is properly maintained and adhered.
  • Communicates directly and often on behalf of the President & CEO with Directors, Senior Management, and other relevant stakeholders regarding matters related to the CEO's initiatives.
  • Works closely and efficiently with the CEO to keep them informed, reminded, and prepared for upcoming commitments and responsibilities.
  • Prioritizes competing demands, manages tasks promptly, and demonstrates proactive follow-through on deliverables and projects, especially those with tight deadlines or significant commitments.

Reports and Analytics:

  • Prepares all reports and documents required by the CEO to effectively manage the Office of the President, including drafting acknowledgment letters, personal correspondence, meeting minutes, and similar materials.
  • Ensures that all requests directed to the Office of the President are appropriately handled, processed, and completed in a timely manner.

Process and Compliance:

  • Ensures compliance with all applicable rules and regulations related to board and board committee matters, including the timely distribution of meeting materials in both electronic and paper formats.
  • Supports board members by arranging travel, accommodations, and meal planning as needed.
  • Helps coordinate travel and outreach plans across divisions to ensure alignment and efficiency.

Leadership Responsibilities:

  • Demonstrates sound judgment across various situations, supported by strong written and verbal communication skills, as well as solid administrative and organizational abilities, with the capacity to balance multiple priorities effectively.
  • Maintains strong communication between the President's Office and internal departments, showing leadership that fosters credibility, trust, and support among senior management staff.
  • Works independently on projects from initiation through completion and is able to perform effectively under pressure, managing diverse tasks and handling confidential matters with discretion.

Baseline Qualifications:

  • Must be a graduate of any 4-year degree program.
  • A degree in Business Administration, Human Resources, or a related field.
  • Requires at least 3 years of relevant work experience.
  • Prior experience as an Executive Assistant in a multinational company or directly supporting a President & CEO is preferred.
  • Possesses excellent written and verbal communication skills.
  • Demonstrates strong attention to detail.
  • Capable of interacting professionally with executives.
  • Able to analyze and resolve complex issues effectively.
