We're looking for a driven and highly organized Executive Assistant to the CEO to help us manage the day-to-day operations across projects, ventures, and family affairs.
About the Role
This is a remote role based in Cebu City, with 2–3 days per week onsite during the first few months for training and onboarding (later shifting to once a week as needed).
The Executive Assistant will work closely with the CEO and interact daily with team members, suppliers, partners, and professionals across different ventures.
The role will require exceptional organization, communication, and discretion, along with a deep sense of loyalty and initiative. You'll act as a bridge between the family, their business interests, and external partners — helping keep everything running smoothly.
Key Responsibilities
Coordination & Communication
Manage and organize inboxes, ensuring that only the most important communications reach the family promptly.
- Coordinate with internal team members, suppliers, contractors, and external professionals (lawyers, accountants, consultants, etc.) across multiple ventures.
- Monitor and manage communication channels (e.g., email, Slack, messages), ensuring follow-ups and deadlines are met.
- Represent the family's office with professionalism and clarity in written and verbal communication.
2. Scheduling & Organization
- Maintain calendars, coordinate meetings, and manage potential schedule conflicts.
- Ensure the family and key executives are always well-prepared for meetings, events, and travel.
- Assist with preparing reports, documents, and presentations as needed.
3. Financial Administration
- Support in reconciling family and personal finances across multiple bank accounts.
- Initiate and track payments, bills, and reimbursements.
- Maintain accurate records and monthly financial summaries (training will be provided).
4. General Executive Support
- Follow up on key tasks and ensure progress across multiple projects.
- Provide weekly summaries and high-level updates on key activities and pending matters.
- Take initiative to anticipate needs, propose improvements, and assist where help is needed — even before being asked.

- Based in Cebu City and the ability to meet in person when required (having own transportation is a plus)

Requirements
- 3+ years of experience as an Executive Assistant or similar role supporting executives, founders, or families.
- Excellent written and verbal communication skills in English and Filipino.
- Strong organizational and multitasking abilities.
- Proficiency with Google Workspace, Microsoft Office, Slack, and spreadsheet tools.
- Financial literacy or comfort working with numbers (basic accounting or reconciliation skills are a plus).
- Willingness to be occasionally available outside standard hours for urgent matters.
- Commitment to long-term growth and learning.
Compensation & Growth
- Schedule: Full-time from 8am to 5pm with breaks;
- Probationary employment for 6 months. Regularization upon 6 months if fit.
- ₱30,000–₱40,000/month, depending on skill and culture fit.
- Performance-based increases as you master the role (typically within 3–6 months).
- Transportation allowance, company-provided phone, internet, and mobile plan.
- Opportunity to grow into higher-level roles such as Chief of Staff or Family Office Manager as trust and competence deepen.
