Position Overview:

The Audit & Payroll Officer is responsible for ensuring accurate and compliant payroll processing while also assisting with internal audits to maintain the integrity and efficiency of financial and operational processes. This dual role involves verifying payroll transactions, preparing reports, and conducting audits to assess compliance with internal policies and external regulations. The ideal candidate is detail-oriented, analytical, and adept at managing confidential information.

Key Responsibilities:

  1. Payroll Processing:

  2. Ensure accurate and timely payroll processing for all employees, including deductions, taxes, and benefits.

  3. Prepare and distribute pay slips, statements, and payroll-related documents.
  4. Manage employee data updates related to salaries, benefits, and deductions in payroll systems.
  5. Resolve payroll discrepancies by collecting and analyzing information.
  6. Ensure compliance with labor laws, tax regulations, and organizational policies.
  7. Audit Activities:

  8. Conduct regular audits of payroll records to ensure accuracy and compliance with internal controls.

  9. Review financial statements, transactions, and reports to identify inconsistencies or irregularities.
  10. Assess and improve payroll and accounting procedures to mitigate risks.
  11. Assist with internal and external audit processes, providing necessary documentation and responses.
  12. Prepare detailed audit reports with findings and recommendations for corrective actions.
  13. Compliance and Reporting:

  14. Ensure payroll-related compliance with tax laws, social security, and other statutory requirements.

  15. Prepare and file payroll tax returns and other regulatory submissions.
  16. Provide payroll reports and audit findings to management for decision-making.
  17. Maintain up-to-date knowledge of laws and regulations affecting payroll and auditing.
  18. Data Integrity and Security:

  19. Ensure payroll records are accurate, up-to-date, and securely maintained.

  20. Protect sensitive employee data and ensure adherence to data protection regulations.
  21. Implement and monitor controls to prevent unauthorized access to payroll and audit information.
  22. Reconciliation and Verification:

  23. Reconcile payroll accounts, ensuring accurate payment distribution and accounting entries.

  24. Verify employee timekeeping and attendance records for payroll accuracy.
  25. Cross-check bank and payroll statements for discrepancies.
  26. Process Improvement:

  27. Identify inefficiencies in payroll and audit processes and recommend improvements.

  28. Stay informed of best practices in payroll management and auditing.
  29. Collaborate with HR, finance, and other departments to streamline processes.

Key Skills and Qualifications:

  • Analytical Skills: Strong analytical abilities to evaluate payroll processes and audit findings.
  • Attention to Detail: High level of accuracy in financial and payroll transactions.
  • Technical Proficiency: Proficiency in payroll software and auditing tools. Advanced skills in Microsoft Excel are a plus.
  • Regulatory Knowledge: Understanding of tax laws, labor laws, and auditing standards.
  • Communication Skills: Excellent verbal and written communication for reporting and collaboration.
  • Problem-Solving: Ability to identify and resolve discrepancies and recommend actionable solutions.
  • Confidentiality: Strong commitment to maintaining the privacy and security of sensitive information.

Education and Experience:

  • Education: Bachelor's degree in accounting, finance, business administration, or a related field.
  • Experience:

  • 2-3 years of experience in payroll processing and auditing.

  • Familiarity with internal audit processes and payroll management.
