Sales Administrative Assistant

Job Summary:
The Administrative Assistant supports the Sales Management Division by managing schedules, preparing communications, handling documentation, and assisting with budget and administrative tasks. This role ensures smooth day-to-day operations and helps coordinate the implementation of the Division's plans and programs.
Key Responsibilities:
- Manages the Division Heads schedule.
- Drafts and disseminates the Division's communications for both internal and external stakeholders.
- Takes minutes of meetings and disseminates to parties involved.
- Follows up fulfillment of meeting items from all parties concerned.
- Consolidation of all drafted and approved Division plans.
- Provides assistance in monitoring the accomplishment of all approved plans and programs of the Division.
- Ensures that the Division Head and the different teams' office requirements are met, i.e. work stations, supplies, transportation through drafting of required operational and capital expenditure budgets.
- Manages budget utilization through:
o Liquidation of cash advances, as approved;
o Reimbursement of expenses;
o Requisition of payments;
o Preparation of purchase requests and orders;
o Budget accrual and reallocations;
o Monitoring of all required budget disbursement approvals.
- Provides assistance to the different SMD teams with their administrative tasks, e.g. accreditation and transaction maintenance of Sales departments, data analyses, as required.
Qualifications:
- Bachelor's/College Degree in Commerce, Office Management or any related course
- At least 6 months' work experience in an administrative role.
- Strong communication, interpersonal and presentation skills.
- Proficient in MS Offices applications, with good organization skills.
- Flexible, adaptable to the Profriends familial culture.
- Open to report to Tinio Mandaluyong City from Monday to Friday
