About the Role

We are seeking a detail-oriented and proactive Construction Administrator to manage HOA and condo exterior maintenance and repair projects. This role ensures projects are delivered efficiently, compliantly, and with a strong focus on client satisfaction. You will serve as the primary liaison between clients, subcontractors, and internal teams while overseeing the full lifecycle of construction projects—from job intake through completion.

Key Responsibilities

  • Client Management:

  • Acquire new clients and monitor ongoing needs.

  • Provide regular updates, address concerns within 24–48 hours, and ensure transparent communication throughout projects.
  • Subcontractor Recruitment & Vetting:

  • Identify coverage gaps in the subcontractor pool.

  • Recruit, vet, and approve subcontractors (verify insurance, licenses, references).
  • Maintain compliance records in Service Fusion, ensuring all documentation is current.
  • Project Administration:

  • Receive and process job requests, estimates, and specifications.

  • Upload and track all project documentation in Service Fusion.
  • Coordinate inspections, permits, safety plans, and quality control milestones.
  • Job Execution & Oversight:

  • Confirm schedules, monitor subcontractor performance, and ensure health & safety compliance.

  • Capture and store before, during, and after job documentation.
  • Dispatch QC inspectors at project milestones.
  • Financial Management:

  • Generate client invoices and approve subcontractor payments.

  • Track job costs versus budget and ensure profitability.
  • Issue Resolution:

  • Document complaints, investigate issues, and implement corrective action plans.

  • Close out issues efficiently while maintaining strong client relationships.

Qualifications

  • Minimum 3-5 years of construction administration or project coordination experience required.
  • Strong knowledge of construction compliance, permits, and safety standards.
  • Advanced expertise in construction compliance, permits, and safety standards required.
  • Excellent organisational and communication skills.
  • Proficiency with project management systems (Service Fusion, PlanHub and AspenGrove experience a plus).
  • Ability to manage multiple stakeholders and projects simultaneously.
  • Mandatory availability to work US hours required for this remote position.
