Overview
We are seeking a highly motivated and organized Construction Coordinator to join our clients team. This role is pivotal in supporting the development process of new restaurant openings and acquisitions. The ideal candidate will have strong project coordination skills, thrive in cross-departmental collaboration, and excel at managing vendors and workflows.
Position Summary
The Construction Coordinator plays a key role in supporting all stages of the development lifecycle—from site selection and due diligence through construction and final opening. This position requires attention to detail, excellent organizational skills, and the ability to manage multiple projects in a fast-paced environment.
Essential Duties & Responsibilities
Development Coordination
- Coordinate daily with internal teams, architects, general contractors, and vendors.
- Schedule and facilitate weekly development calls.
- Maintain project files, databases, and Smartsheet workflows.
Real Estate & Lease Support
- Assist with due diligence tasks (title work, environmental reports, legal documentation, vendor contracts).
- Support transition from LOI to lease execution, tracking obligations and development milestones.
- Draft coordination emails to landlords and confirm delivery items, signage requirements, and utilities.
Data & Reporting
- Track project timelines, resources, and site progress.
- Prepare weekly status reports.
- Collect, verify, and organize data for decision-making.
Vendor & Equipment Coordination
- Request, track, and distribute drawings, surveys, and reports.
- Schedule vendor deliveries and installations (POS, smart safes, water filters, fire suppression, etc.).
- Coordinate inspections and ensure timely completion of deliverables.
Cross-Departmental Collaboration
- Serve as liaison between Real Estate, Construction, and Operations teams.
- Document meeting action items and maintain workflow tracking.
- Provide administrative and data management support.
Workflow & Compliance
- Manage tasks for new openings and acquisitions.
- Coordinate Certificate of Occupancy updates for ownership changes.
- Ensure compliance with safety, first aid, and service requirements.
Invoice & Budget Monitoring
- Track invoice processing and ensure timely payments.
Qualifications
- 3–5 years of experience in construction, real estate, or project coordination (restaurant/commercial preferred).
- Ability to read and interpret architectural drawings.
- Proficiency in Microsoft Office Suite, Smartsheet, and project management software.
- Strong communication skills (written & verbal).
- Ability to multitask, prioritize, and manage projects in a fast-paced environment.
- Excellent organizational and analytical skills.
- Ability to work independently and in cross-functional teams.
