As part of our commitment to excellence, we are looking for a detail-oriented Accounting Supervisor to lead our day-to-day accounting operations and support our financial growth.
Key Responsibilities
1.Accounts Payable & Vendor Management
- Processing Invoice - Receiving, verifying, and processing invoices from vendors for food supplies, coffee beans, equipment, utilities, and other services.
- Scheduling Payments - Ensuring all bills are paid accurately and on time to avoid late fees and maintain good credit terms.
- Vendor Reconciliation - Regularly reconciling statements from suppliers to ensure every delivered order has been invoiced and paid correctly.
Managing Relationships - Serving as the primary financial contact for vendors, addressing any billing inquiries or discrepancies.
Accounts Receivable & Revenue Tracking
Daily Sales Reconciliation - Collecting and reviewing daily sales reports from the Point-of-Sale (POS) system.
- Matching Transactions - Verifying that recorded sales match the actual cash, credit card, and digital payment deposits in the business bank accounts.
- Investigating Discrepancies - Identifying and resolving any variances between the POS data and bank deposits, which could be due to refunds, voids, or errors.
Managing Receivables - If the cafe has wholesale accounts (e.g., selling beans to local businesses), tracking and collecting those payments.
Payroll & Tip Distribution Processing
Processing Payroll - Calculating hours worked (including overtime), calculating gross pay, and processing payroll for all employees on a bi-weekly or weekly schedule.
- Managing Tips - Accurately tracking and allocating credit card tips and reconciling them with cash tip pools, ensuring compliance with labor laws.
- Withholdings and Deductions - Calculating and withholding correct amounts for taxes, benefits, and other deductions.
Tax Filings - Preparing and submitting necessary payroll tax documents to local and national authorities.
Financial Reporting & Record Keeping
Generating Key Reports - Preparing essential financial statements, including the Profit & Loss (Income) Statement, Balance Sheet, and Cash Flow Statement on a weekly, monthly, or quarterly basis.
- Cost of Goods Sold (COGS) Analysis - Closely monitoring the cost of inventory items (coffee, milk, syrups, pastries) as a percentage of sales. This is vital for identifying waste, shrinkage, or pricing issues.
- Maintaining General Ledger - Ensuring all financial transactions are accurately categorized and recorded in the company's general ledger or accounting software (e.g., QuickBooks, Xero).
Document Management - Organizing and archiving all financial records, receipts, and reports for tax purposes and audits.
Inventory Management Support & Cost Control
Reconciling Inventory Data - Comparing inventory usage reports from managers with purchase invoices to calculate actual COGS and identify variances.
- Identifying Cost Trends - Analyzing spending patterns to flag increasing costs of key items (e.g., milk, avocado) so management can adjust menu prices or find new suppliers.
- Auditing Procedures - Occasionally assisting in physical inventory counts to ensure the numbers reported are accurate and to help identify potential theft or waste.
- Budgeting Assistance - Providing historical financial data to help the cafe owner or manager create budgets and forecasts for future periods.
Qualifications
- Bachelor's Degree in Accountancy, Finance, or Management Course
- Fresh Graduate of related course or with at least 6 mos – 1 yr related experience
- Good in Mathematical skills, knows Excel / Spreadsheet, knows POS system
- Analytical, diligent, loves office work, organized
Compensation
Entry level at minimum wage
With experience or mid-level start @ 13,600.00/month
