Administrative Assistant

About the Role:
We are looking for a highly organized and detail-oriented Administrative Assistant to join our team If you enjoy supporting daily operations, ensuring compliance, and providing excellent customer service, this role is for you. You will play a key role in keeping our office running smoothly, maintaining important documentation, and assisting with HR, finance, and compliance tasks.
Key Responsibilities:
Answer and route incoming phone calls with professionalism and courtesy
- Maintain and update the DASH system to ensure accurate job tracking and client communication
- Complete and dispatch First Notice of Loss (FNOL) documentation
- Track and update compliance records, including licenses, certifications, and insurance policies (e.g., DCCA, IICRC, EPA, COIs, Workers' Comp, Auto, Cyber, etc.)
- Maintain a compliance calendar and distribute updated documents to vendors and corporate contacts as needed
- Support adherence to National Accounts Program Agreements (NAPA) and third-party compliance requirements
- Assist with corporate and franchise compliance documentation and reporting
- Track and manage company-issued equipment, including phones and tablets, maintaining accurate inventory logs
- Provide administrative support to the General Manager, HR Director/AP/AR Manager, and VP of Administration as needed
- Perform other administrative and office support duties as assigned
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field preferred (or equivalent work experience)
- Prior experience in an administrative or office support role is an advantage
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills with a customer-service mindset
- Proficiency in office software and systems (Google Suite, spreadsheets, CRM/DASH preferred)
- High attention to detail and accuracy in record-keeping
- Ability to work independently and as part of a team in a fast-paced environment
- Employment is contingent upon passing a background check
- Willing to work U.S. business hours (night shift, PH time), full-time 40 hours a week (Monday–Friday)
