Administrative Assistant

We are looking for a highly organized, sharp, and proactive Administrative Assistant to support a fast-paced accounting firm. This role is critical to the smooth operation of the office and requires someone who can think on their feet, manage multiple priorities, and communicate effectively with clients and team members.
Key Responsibilities:
- Read, manage, and respond to high volumes of administrative and client emails
- Review and organize engagement letters and other client documents
- Manage Outlook calendars and coordinate meetings and appointments
- You will be the Office Manager handling daily office operations
- Handle billing tasks and follow up with clients regarding payments
- Maintain excellent communication with clients, vendors, and staff
- Assist with various administrative and clerical tasks as needed
- Use critical thinking to prioritize tasks and make decisions independently
Qualifications:
- Strong written and verbal communication skills
- Proficiency in Microsoft Outlook, Excel, Word, and general office tools
- Exceptional attention to detail and time management
- Prior experience in a busy office environment (accounting or finance is a plus)
- Ability to multitask, stay organized, and solve problems on the go
- Comfortable working under pressure and handling sensitive information with professionalism
Critical thinking is a must — you will be handling a busy practice with constantly moving parts.
