We are looking for a dedicated and highly organized ADMISSIONS & STUDENT SERVICES COORDINATOR to join our team. This role plays a vital part in guiding prospective students through their academic journey—from inquiry to enrollment—and providing ongoing support throughout their stay in the institution.
This is a part-time position that requires up to 10 hours per week, depending on the management approval. Your permanent Shift will be during the OPENING OPERATIONS (AM) Eastern Standard Time, specifically 9:30AM to 1:00PM EST.
Position Summary:

Initial Employment Status: Probationary, Part-Time
Reporting To: School Director
Start Date: 1 week after signing the Offer Letter
Work Schedule: : 9:00 AM to 1:00 PM Eastern Standard Time (EST)
Rendering Hours: up to 10 hours per week (depending on the management approval)
Compensation (Monthly): 85 pesos per hour
Responsibilities of Admissions & Student Services Coordinator
The Admissions Office at Heritage Career Institute, plays an important role in the recruitment of potential enrollees to the Institution's healthcare programs. The Admissions & Student Services Coordinator will be the primary contact for applicants, providing the necessary information about their inquiries, and assisting them with the application and enrollment process.

ADMISSIONS & STUDENT SERVICES COORDINATOR
Reports to: School Director
Collaborates with: Registrar, Clinical Coordinator, Finance Coordinator, Marketing & Communications Coordinator
Primary Focus: Full student-journey management (inquiry → graduate → alumni) plus catalog and front-end compliance
Key Responsibilities:
Recruitment & Enrollment:
- Respond to inquiries, conduct tours, and manage online application files
- Coordinate open houses and information sessions with Marketing Team
- Verify admission documentation (high school diploma, transcripts, test scores)
- Prepare enrollment agreements and coordinate with Finance for tuition setup
- Manage lead tracking and CRM system
Student Support:
- Organize orientation and track attendance/satisfaction
- Coordinate tutoring or academic advising referrals
- Maintain student communication (announcements, policy updates)
- Handle student complaints and grievances (initial contact)
Accreditation / Compliance Duties:
- Maintain and annually update school catalog (dates, tuition, policies, disclosures)
- Archive marketing materials and advertising samples for CIE review
- Ensure admissions and enrollment forms match approved templates
- Track placement data, competitor school's tuition information, and surveys for annual reporting (employment rates, salary data)
- Maintain evidence online folder for recruitment, orientation, and placement outcomes
- Ensure all marketing claims are accurate and substantiated
Qualifications:
- Bachelor's degree in Communication, Education, Psychology, Business Administration, or a related field.
- Has background experience in Admissions, Student services, or Customer service is required.
- Strong communication, interpersonal, and customer-service skills in making calls.
- Has keen attention to detail in reviewing and verifying documents to ensure accuracy
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office, Google Workspace, and general administrative tools.
- Ability to work with minimal supervision and maintain confidentiality.
- Ability to work during AM EST hours without any conflicting schedule
- Must NOT engage in any other employment, consulting, or business activity (whether full-time or part-time) that may create a conflict of interest with the Institution.
