The Client Services Coordinator plays a key role in managing the client experience and supporting day-to-day operational excellence across multiple service locations.

Job Highlights
Monthly Rate: Php 120,000+
Role Name: Client Services Coordinator
Reports To: Chief of Staff
Department: Client Services
Location: Melbourne
Schedule: Monday to Friday, 9:00 AM – 5:00 PM (38 hours per week)
Work Arrangement: Work from home
Contract: Independent Contractor
Start Date: Immediate hiring
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are based on hourly rates, which depend on performance.
Key Responsibilities
Client Coordination & Scheduling
- Manage client appointment scheduling, ensuring efficient use of clinician time and optimal client experience
- Coordinate intake processes, service requests, and communications with professionalism and accuracy
- Maintain up-to-date client data across scheduling and CRM systems
- Liaise with clinicians to confirm bookings, manage reschedules, and ensure service continuity
Operational Oversight & Leadership Support
- Oversee day-to-day client service operations across designated clinics or regions
- Ensure local service delivery meets company standards and client expectations
- Identify and resolve scheduling or operational issues in collaboration with clinical and administrative teams
Continuous Improvement & Growth
- Recommend process improvements to enhance scheduling systems and overall client experience
- Participate in team meetings and provide performance insights
- Take on project and leadership opportunities as skills and performance develop
Requirements

Qualifications & Experience
- Previous experience in client services, healthcare administration, or operational coordination
- Proven understanding of NDIS, healthcare funding, or community-service travel fee structures (required)
- Experience managing multi-site scheduling or healthcare operations (highly regarded)
- Proficiency in Google Suite and/or practice management software (e.g., Splose) preferred
- Must be an Australian expat, familiar with Australian professional standards and communication
- Demonstrated interest and potential to grow into leadership or management roles
