Responsibilities
Client Specific Tasks:
- Act as the point of contact among executives, employees, clients and other external partners
- Format information for internal and external communication – memos, emails, presentations, reports
- Assist with internal & external meetings – take minutes, room bookings, catering, equipment, IT, meeting materials and resources as required
- Manage executives' calendars and set up meetings
- Arrange & co-ordinate travel and accommodation bookings
- Arrange corporate events to take place outside of the workplace, such as events and staff appreciation events
- Maintain an organized filing system of paper and electronic documents
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clients
- Rack daily expenses and prepare weekly, monthly or quarterly reports
- Screen and direct phone calls and distribute correspondence
Requirements
- Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
- Experience supporting C-level executives in an international environment is preferred
- Familiarity with logistics or technology consulting sectors would be an advantage
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software and applications
- Flexibility to occasionally adjust working hours to accommodate different time zones
- Have the availability to travel internationally from time to time
- Proficiency in collaboration and delegation of duties
- Strong attention to detail, particularly in document preparation and calendar management.
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Proactive approach to anticipating needs and managing priorities.
