The Executive Assistant is a critical support role responsible for delivering high-level administrative and operational assistance to executive leadership. The key responsibilities are:
Administrative Support
- Serve as the point of contact among executives, employees, clients, and other external partners
- Manage expense reports and reimbursements.
- Maintain electronic and physical files, records, and databases for easy retrieval.
- Provide high-level administrative support to the Executive Officers, including managing calendars, scheduling meetings, and handling correspondence.
- Anticipate the needs of executives and proactively manage logistical support (e.g., preparing travel arrangements, anticipating document needs, etc.).
Meeting Coordination
- Prepare agendas, meeting materials, and presentations for board meetings and key stakeholder discussions.
- Take detailed minutes during meetings, distribute them promptly, and track action items to ensure follow-up.
- Assist in managing projects and deadlines related to executive initiatives to ensure smooth operations.
- Handle special tasks and ad-hoc assignments as required.
Communication Management
- Coordinate and prioritize internal and external communications, serving as the liaison between executives and stakeholders.
- Screen and direct phone calls, emails, and correspondence to the Executive Officers, ensuring priority communications are addressed promptly.
- Draft and prepare responses to emails, letters, and other correspondence on behalf of the Executive Officers.
- Manage sensitive communications with discretion, ensuring confidentiality and professionalism in all interactions.
Project Coordination and Report Generation
- Discern key insights and trends from data and generate comprehensive reports for the Management team.
- Collect, analyze, and present relevant data from various sources to generate actionable reports for the executive team.
- Maintain and update reporting templates, dashboards, and data systems to ensure efficiency and accuracy.
- Support executives with ad-hoc data analysis and reporting needs as required.
Requirements:
- A Bachelor's Degree in Business Management, Office Management, Engineering or equivalent.
- Proven experience as an Executive Assistant or in a similar role.
- Experience in project management and problem-solving is a plus.
- Experience working in the real estate industry is a plus.
- Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Must be keen to details, high level of discretion and professionalism, and dependable with value for high work ethics and customer service.
- Possesses dynamic personality, able to deal with all levels in the organization.
- Ability to work independently and as part of a team.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
