QUALIFICATIONS

  • At least a graduate of Bachelor Degree in Business Administration, Management or other related courses
  • Minimum of five (5) years of extensive experience in Record Management, Facilities Management , Inventory Management, Safety and Security Management

JOB DESCRIPTIONS

A. Records Management

  • Develops and implements the electronic and physical document management policy and classification system.
  • Supervises the receiving, distribution, safekeeping, digitization, and archiving of all official company records.
  • Approves and monitors the disposal of documents and records that exceed the set retention period.
  • Manages the inventory, issuance, and consumption reporting of all accountable and controlled forms across all departments.

B. Facilities Management

  • Coordinates and ensures timely compliance for all essential permits, licenses, and renewals (e.g., Business Permits, SEC requirements, Vehicle Registration, Insurance, Contracts of Lease).
  • Oversees the monitoring and processing of vehicle insurance, registration, claims, and fleet card management.
  • Manages service providers and external contractors for major facility construction, improvements, repairs, and maintenance projects.
  • Designs and implements energy efficiency/conservation and optimal space utilization programs (e.g., training/conference rooms).

C. Inventory Management

  • Establishes and audits inventory control processes, including TITO (Technical-In Technical-Out) and FIFO (First-in First-Out) methods for stock movements.
  • Manages the accurate real-time inventory records for all office supplies, non-expendable, and semi-expendable assets.
  • Ensures proper documentation, validation, and approval of all stock movements (Receipts, Returns, Issuances) and accountable forms.
  • Oversees and reconciles regular physical counts of items on stock and fixed assets with accounting records.

D. Safety and Security Management

  • Develops and manages the implementation of policies for the protection of people and company assets against threats, disasters, and hazards.
  • Ensures strict compliance with Organizational Safety and Health (OSH) requirements from DOLE.
  • Leads the development, maintenance, and periodic testing of an effective Business Continuity Plan (BCP).
  • Monitors cleaning schedules, assignments, and overall maintenance to ensure a clean, safe, and conducive working environment.
