Job Summary:

The Human Resources & Administrative Supervisor plays a key role in the daily operations of the department, ensuring smooth administrative and HR functions. This position is responsible for overseeing the administrative team's tasks, with a primary focus on ensuring operational compliance for our retail stores. The supervisor is also actively involved in the recruitment and hiring process for both head office and store personnel, providing essential support in various HR functions.

DUTIES AND RESPONSIBILITIES

Administrative Functions

  • Business Permits: Oversee application and renewal of business permits for head office and branches; ensure full LGU compliance.
  • Store Coordination: Handle store requirements, permits, mall coordination, and maintenance requests.
  • Government Compliance: Ensure timely submission of documents to LGUs and other agencies.
  • Team Management: Supervise and coach the HR & Admin Assistant; review performance and ensure efficient task execution.
  • Vendor Payments: Approve and monitor payments for permits, government fees, and admin expenses.

Human Resources Functions

  • Recruitment & Hiring: Manage end-to-end hiring for head office and retail positions—from job posting to selection.
  • Employee Relations: Handle basic employee concerns, disciplinary actions, and coaching sessions.
  • Documentation: Oversee accurate processing of HR forms and disciplinary records.
  • Training Support: Coordinate new hire orientations, product knowledge, and operations training.
  • Data Management: Maintain organized and secure HR and admin records.
  • Employee Engagement: Develop and propose programs to enhance employee welfare and workplace culture.

Qualifications

  • Candidate must possess at least a Bachelor's/College Degree in Psychology, Human Resources, Business Administration, or a related field.
  • A minimum of 2-3 years of proven experience in an HR and/or administrative role, with a strong emphasis on government compliances and permits.
  • Demonstrated experience in a supervisory or team lead role.
  • Genuine interest in HR and extensive knowledge of administrative duties, especially those related to store operations and business permits.
  • Must be a detail-oriented individual with excellent organizational, written, and verbal communication skills.
  • Must be people-oriented, with the ability to build and maintain effective working relationships with internal and external stakeholders.
  • In-depth knowledge of labor law and HR best practices.
