Key Duties and Responsibilities

1. Recruitment and Onboarding

  • Assist in posting job openings on job boards and social media.
  • Screen resumes and shortlist candidates for interviews.
  • Schedule interviews and coordinate with hiring managers.
  • Participate in the onboarding process for new hires (orientation, documentation, introductions).
  • Prepare and maintain employee files and HR records.

2. Employee Records and Documentation

  • Maintain accurate and up-to-date employee information in HR databases and personnel files.
  • Ensure confidentiality and proper filing of HR documents.
  • Update attendance, leave, and payroll data as needed.

3. HR Administration and Support

  • Assist in preparing HR letters (employment verification, salary certificate, etc.).
  • Support HR officers/managers in daily administrative tasks.
  • Help in drafting and updating HR policies and procedures.

4. Employee Relations

  • Serve as a point of contact for employee inquiries regarding policies, benefits, and procedures.
  • Assist in organizing employee engagement activities, team events, or wellness programs.
  • Report employee concerns or grievances to senior HR staff.

5. Training and Development

  • Coordinate training sessions, workshops, and seminars.
  • Track attendance and training completion.
  • Help evaluate training effectiveness through feedback forms.

6. Performance Management Support

  • Assist in collecting performance appraisals and compiling results.
  • Maintain records related to employee performance and development plans.

7. Compliance and Health & Safety

  • Ensure HR activities comply with labor laws and company policies.
  • Help with audits, reporting, and maintaining compliance records.
  • Support in monitoring workplace health and safety requirements.

8. Payroll and Benefits Assistance

  • Support payroll processing by collecting attendance and leave data.
  • Help in benefits enrollment and responding to employee benefit queries.

Qualifications and Requirements

Educational Background

  • Bachelor's degree in Human Resource Management, Business Administration, Psychology, or a related field.
  • HR certifications (e.g., SHRM-CP, PHR, CHRP) are an advantage but not required.

Experience

  • 1–2 years of experience in an HR or administrative support role
  • Familiarity with HR functions and best practices preferred.

Skills and Competencies

  • Good understanding of HR processes (recruitment, training, employee relations).
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • High level of professionalism, integrity, and confidentiality.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS systems.
  • Basic knowledge of labor laws and employment regulations.
