Location: Remote | Full-time

Schedule: 40 hours/week Mondays through Fridays 9am-6pm Sydney time

Rate: 900 AUD/mo

As our Admin Professional, you'll be the connective tissue between our people, platforms, and processes. You'll support the full lifecycle of our staff partners and clients—from onboarding to offboarding, ticket handling to timesheet scrubbing—ensuring every touchpoint feels thoughtful, accurate, and human.

This isn't just admin—it's operational care work. And it's foundational to how we scale with integrity.

What You'll Own

People Support & Lifecycle Coordination

  • Facilitate onboarding and offboarding for staff partners and clients via the admin back-end.
  • Maintain key people records (birthdays, milestones, anniversaries) and coordinate recognition moments with their respective managers
  • Respond to support tickets with empathy, accuracy, and appropriate escalation when needed

Payroll & Data Hygiene

  • Scrub Hubstaff timesheets weekly and document unworked/additional hours for payroll and invoicing
  • Maintain staff partner pay sheets and support Finance with accurate, timely payout data
  • Populate weekly and monthly KPI dashboards with clean, reliable inputs

CRM & Process Stewardship

  • Keep our CRM ecosystem tidy—adding/removing/updating staff, clients, and contracts weekly
  • Document and update admin processes in our knowledge base
  • Ensure all records are audit-ready, accessible, and aligned with compliance standards

Cross-Functional Support

  • Provide admin and data support to our VA Managers and Client Manager and the broader delivery team
  • Collaborate on process improvements that make life easier for everyone

What You Bring:

  • Strong organisational and data management skills—you love a spic and span team sharedrive)
  • Stellar degree of accountability and reliability. (You will be among our support pillars)
  • High attention to detail, especially in recurring tasks like timesheet validation
  • Clear, kind communication—whether you're writing a ticket reply or updating a teammate. 2+ years in non-voice customer service work is preferred.
  • Expertise with tools like Hubstaff, GoHighLevel, Notion, , Zoho Desk, and Google Workspace.
  • A calm, people-first presence
  • A learning mindset—you're not afraid of new systems or evolving processes

This role is designed to grow with you. Within 6-12 months, you'll have the opportunity to step into a lead-level scope—owning the admin function end-to-end, stewarding our data governance practices, and contributing to people-first operational strategy.
