We are seeking a reliable and detail-oriented Bookkeeper to manage the day-to-day financial administration across multiple entities within a dynamic yacht club and sailing group. This role is ideal for someone who thrives on structure and accuracy and is confident handling core bookkeeping tasks including AP/AR, reconciliations, payroll, and financial record keeping.

While you will work closely with senior management, this is a hands-on transactional role, focused on ensuring the financial operations run smoothly and records remain up to date. Experience within F&B, hospitality, or club environments will be highly regarded.

Key Responsibilities

Accounts Payable & Receivable

  • Process and enter invoices, supplier bills, and payments across multiple entities.
  • Conduct AP statement reconciliations to ensure all expenses are captured and accurate.
  • Issue monthly client statements and maintain aged receivables reports for follow-up by customer service or management.
  • Monitor and manage creditor and debtor accounts to ensure timely settlement.

Bank Reconciliation & Payroll

  • Perform weekly bank reconciliations and ensure ledgers are accurate.
  • Assist with payroll preparation and processing in accordance with Australian standards.
  • Maintain up-to-date payroll records and compliance with superannuation and PAYG requirements.

Financial Administration

  • Monitor finance inboxes, triaging and responding to supplier and client queries.
  • Assist with preparing basic financial summaries or reports for management when required.
  • Maintain digital filing systems for invoices, receipts, and financial documents.
  • Support the accountant or leadership team with ad hoc administrative and finance tasks.

Process & Systems Support

  • Use XERO to manage day-to-day bookkeeping tasks.
  • Support the implementation of improved workflows and assist in documenting basic SOPs where needed.
  • Provide accurate information for audits and compliance checks.

Skills & Experience

  • 2+ years' bookkeeping experience in an Australian business (multi-entity experience highly regarded).
  • Proficiency in XERO is essential.
  • Experience in F&B, hospitality, or membership-based organisations is preferred.
  • Strong understanding of AP/AR processes, payroll cycles, and bank reconciliations.
  • Excellent attention to detail and organisational skills.
  • Confident communicator able to liaise with suppliers, clients, and internal teams.
  • Ability to work autonomously and manage multiple priorities simultaneously.

Desirable Qualifications

  • Certificate IV or Diploma in Bookkeeping/Accounting (preferred but not essential).
  • Experience using other cloud-based accounting systems or CRMs.
  • Familiarity with hospitality or club financial operations.
