JOB OVERVIEW

We are seeking a highly organised, detail-oriented, and proactive Marketing and Admin Support Specialist to provide exceptional executive administrative support while assisting with marketing and sales coordination. This role requires professionalism, confidentiality, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will play a vital role in supporting the executive team, ensuring seamless day-to-day operations, and contributing to FYT's marketing and client engagement activities.

DUTIES AND RESPONSIBILITIESExecutive Administration Support (Primary Focus)

  • Manage executive calendars, schedule meetings, and coordinate appointments and travel logistics.
  • Screen, prioritise, and respond to emails and correspondence on behalf of executives as required.
  • Prepare reports, presentations, proposals, and meeting documentation.
  • Track expenses, process reimbursements, and maintain financial records with accuracy.
  • Conduct online research and compile information for decision-making and planning.
  • Record, format, and distribute meeting minutes and follow-up actions.
  • Maintain confidential information with discretion and professionalism.
  • Support project coordination and task tracking through digital management tools.
  • Liaise with internal teams, clients, and external stakeholders to ensure seamless communication and workflow.

Marketing & Brand Support (Secondary Focus)

  • Collate, format, and update marketing materials, brochures, and presentations.
  • Create and manage digital content and assist in implementing marketing campaigns.
  • Support the planning and execution of email and online marketing initiatives.
  • Update and maintain website content and coordinate with vendors or agencies as needed.
  • Manage and schedule social media content and track engagement metrics.
  • Prepare simple marketing reports and suggest process improvements.

Sales & Client Communication (Support Function)

  • Build and maintain client and lead databases using available CRM tools.
  • Prepare, issue, and follow up on proposals, quotes, and client documents.
  • Coordinate marketing packages and client-facing materials.
  • Support lead generation and nurture relationships through structured communication.
  • Liaise with solicitors, admin staff, and other stakeholders when required.

QUALIFICATIONS AND SKILLSEducation and Experience

  • Bachelor's degree in Business Administration, Marketing, Communications, or a related field (preferred).
  • Minimum 2–3 years of experience in executive administration, office management, or marketing support.
  • Proficient with digital productivity, project coordination, and marketing tools.

REQUIRED EQUIPMENT

  • Reliable computer or laptop (preferably dual monitors).
  • Noise-cancelling headset with mouthpiece.
  • Clear webcam.
  • Stable wired internet connection (not reliant on mobile data or wireless modems).
