Position: Admin Support – Australian Accounting Firm
Employment Type: Full-time - Permanent Work from home set-up
We are seeking an organized, proactive, and detail-oriented Admin Support professional to assist our accountants with various client, compliance, and administrative tasks.
Key Responsibilities:
Client & Compliance Support:
- Receive and forward client letters from the ATO to accountants and escalate follow-ups.
- Monitor ASIC obligations including annual reviews, company debts, and send reminders prior to due dates.
- Apply to ASIC for company detail changes, deregistrations, and reinstatements.
- Assist clients and lenders with document requests for loan applications (e.g., Accountant Letter, Sophisticated Investor Letter, document certifications).
Accounting System Administration:
- Create new jobs in XPM, send and follow up on PI (Payment Instructions) signing.
- Create BAS PIs and yearly Xero subscription PIs.
- Respond to ad-hoc ATO portal lodgement requests.
New Entity & Document Management:
- Facilitate new entity setup: send documents for approval, create invoices, organize signing, and maintain permanent records.
- Assist with ATO payment arrangements, remission requests, deferred payments/lodgements, tax residency certificates, and capital gains clearance certificates.
- Provide ad-hoc support in preparing unit transfer documents and certificates.
Key Skills & Attributes:
- Strong organisational and multitasking abilities.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office and accounting software (XPM and Xero preferred).
- Familiarity with ATO and ASIC processes is advantageous.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
