Position: Executive Assistant - Real Estate
Location: Philippines, Remote – U.S. Central Time Hours
Role Type: Full Time - 40 hours/week
Salary: Competitive hourly rate ($7–$8.00/hr, based on experience)
Overview
We are seeking a highly organized, dependable, and proactive Executive Assistant to support an Executive of a growing U.S.-based real estate and investment company. This role is ideal for someone who loves structure, enjoys improving systems, and takes pride in maintaining accuracy and efficiency. You'll help coordinate real estate and investment projects, manage communication, organize data, and create processes that keep operations running smoothly. If you naturally anticipate needs, stay calm under pressure, and enjoy bringing order to complex tasks, this role offers stability, growth, and meaningful long-term work.
Key Responsibilities
Executive & Communication Support
- Manage calendars, inboxes, and task tracking with professionalism and confidentiality
- Draft, edit, and send professional correspondence to clients, investors, and partners
- Prepare and maintain contracts, checklists, and transaction documentation
- Review meeting notes and transcripts; create clear follow-up tasks and reports
- Coordinate travel arrangements, meetings, and conference logistics
Operations & Systems Management
- Maintain CRM and project management systems for listings, transactions, and investor data
- Develop and improve checklists, templates, and SOPs to support consistency and efficiency
- Research property and ownership details and update databases accurately
- Collaborate with U.S. title companies, attorneys, and partners to ensure timely completion of deliverables
- Support automation, AI tools, and reporting dashboards to streamline workflows
Marketing & Administrative Support
- Create and schedule marketing content across LinkedIn, Facebook, and other platforms
- Design investor and company materials using Canva or Adobe
- Support email campaigns, newsletters, and investor communications
- Maintain consistent branding and organized digital files
Qualifications
- Minimum 3 years of experience as a Virtual Assistant, Executive Assistant, or Operations Coordinator
- Excellent written and spoken English communication skills
- Proven strength in organization, detail management, and follow-through
- Familiarity with CRM and project management tools (GoHighLevel, ClickUp, Notion)
- Proficiency in Canva; Adobe experience a plus
- Comfortable learning new tools and adapting to evolving priorities
- Background in real estate or investment is an advantage but not required

- ClickUp, Notion, Taskade, or similar PM tools

- Canva, Adobe Creative Suite
- AI tools such as ChatGPT, Claude, Perplexity

What We Offer
