The Executive Assistant provides comprehensive administrative and operational support to a UK-based executive. This role is responsible for calendar management, travel coordination, social media scheduling, and task prioritization to ensure smooth day-to-day operations. The ideal candidate is highly organized, flexible, and tech-savvy, with working knowledge of AI tools such as ChatGPT and basic finance tasks including bank account reconciliation using Xero.

Key Responsibilities:

Executive & Calendar Management

  • Manage and maintain executive calendars, scheduling meetings, calls, and reminders.
  • Ensure effective time management and alignment with UK business priorities.
  • Track deadlines, follow-ups, and action items.

Travel & Logistics Coordination

  • Book and manage travel arrangements including flights, accommodations, and itineraries.
  • Coordinate schedules across time zones and manage last-minute changes.

Social Media & Digital Support

  • Schedule and manage social media posts across designated platforms.
  • Support basic content coordination and posting timelines.

Task Prioritization & Administrative Support

  • Organize daily tasks and prioritize workload based on urgency and importance.
  • Provide day-to-day administrative support and handle ad hoc requests.
  • Maintain awareness of ongoing projects and executive priorities.

Technology & Financial Support

  • Utilize ChatGPT and AI tools to assist with drafting, research, and task organization.
  • Perform basic bookkeeping tasks including bank account reconciliation.
  • Maintain financial records using Xero and ensure accuracy of entries.

Key Skills & Qualifications:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Strong calendar management, time management, and task prioritization skills.
  • Experience in social media scheduling tools and platforms.
  • Working knowledge of ChatGPT and AI-powered productivity tools.
  • Experience using Xero and handling bank account reconciliation.
  • High level of flexibility and adaptability.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and confidentiality.
