
Project Admin Supervisor

Reports To: Operations Manager / Managing Director
The Project Admin Supervisor oversees daily operations and administrative functions to ensure that all activities within the memorial resort are efficiently executed, compliant with company standards, and aligned with project requirements. This role combines administration and operational supervision—balancing office-based documentation, reporting, and on-site coordination to maintain Santuario Divino's serene, organized, and service-oriented environment.
Key Responsibilities:
1. Administrative Oversight
- Manage documentation, permits, correspondence, and project-related reports.
- Prepare and maintain records such as purchase orders, service contracts, and inventory reports.
- Coordinate with management regarding budgets, expenses, and project updates.
- Oversee scheduling of staff, maintenance, and service operations to ensure efficiency.
- Support HR and accounting processes by consolidating attendance, payroll data, and requisitions.
2. Operational Supervision
- Conduct regular site inspections to ensure cleanliness, orderliness, and compliance with safety and maintenance standards.
- Supervise daily operational activities involving groundskeeping, chapel services, and facility upkeep.
- Ensure that facilities such as chapels, walkways, and viewing rooms are properly maintained and guest-ready.
- Collaborate with contractors, suppliers, and service providers to guarantee timely delivery and quality of work.
- Address operational issues promptly and provide solutions that uphold the resort's image of peace and comfort.
3. Project Coordination
- Assist in the planning and implementation of new projects and enhancements within the memorial resort.
- Monitor project progress, timelines, and resource allocation.
- Prepare regular progress reports and communicate updates to management.
- Ensure adherence to company policies, project guidelines, and regulatory requirements.
4. Customer Service and Community Relations
- Support the management team in ensuring a compassionate and respectful experience for clients and visitors.
- Coordinate with families, event organizers, and service providers for chapel and burial arrangements.
- Uphold the brand's vision of offering a serene environment conducive to reflection, remembrance, and healing.
Qualifications:
- Bachelor's degree in Business Administration, Management, or any related field.
- Minimum of 2–3 years of experience in project supervision, administrative management, or operations.
- Strong leadership, organizational, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and administrative reporting tools.
- Experience in hospitality, property management, or memorial services is an advantage.
