Overview

We are seeking a proactive and persistent a Construction Project Coordinator to support project managers and leadership in a high-end residential construction firm with managing budgets, estimates, and project data. 

This role combines estimating, financial tracking, and project administration, helping ensure every home renovation or new build stays on schedule, within budget, and to the company's quality standards. You'll play a key role in reviewing bids, maintaining accurate project documentation, and organizing cost data within Buildertrend.

The ideal candidate has hands-on experience supporting construction or residential renovation firms—someone who understands how estimates translate to real project costs and can help the team stay organized and financially aligned from start to finish. A strong construction background with experience in estimating, project documentation, and administration is preferred. They should be detail-oriented, capable of reviewing bids and plans, and comfortable working with historical project data to develop preliminary budgets. By ensuring accuracy and efficiency in the estimating and project coordination process, this role will directly contribute to keeping projects on time, on budget, and client expectations exceeded.

**Key Responsibilities

Estimating & Budget Support**

  • Prepare and assist with preliminary budgets using historical project data and estimating tools
  • Review subcontractor and supplier bids for accuracy, verifying quantities, rates, and alignment with project plans
  • Support project managers in analyzing costs, validating estimates, and flagging discrepancies
  • Assist in organizing and improving company data to accelerate budget development for new projects

Project Coordination & Administration

  • Maintain up-to-date project information in Buildertrend, including budgets, schedules, and invoices
  • Support project managers with weekly updates, schedule tracking, and progress reporting
  • Assist with accounts receivable tasks, invoicing, and tracking client billing
  • Organize and manage project documentation, ensuring accuracy and compliance with company standards

Operational Support

  • Provide consistent oversight on financial and administrative details so project managers can focus on client and site management
  • Help identify inefficiencies in workflows and propose process improvements
  • Assist leadership in preparing project data and reports for client meetings and internal reviews

Preferred Skills & Qualifications

  • 3+ years of experience in construction estimating, project coordination, or related administrative support
  • Minimum 2 years of experience supporting US businesses
  • Bachelor's degree in Civil Engineering, Construction Management, Architecture, or related field preferred
  • Strong knowledge of construction processes and terminology
  • Ability to read and interpret construction plans and bid proposals
  • Proficiency in AutoCAD, SketchUp, or similar design/drafting software
  • Strong attention to detail with proven financial and organizational skills
  • Excellent English communication skills (written and verbal)
  • Proficiency with construction/project management or accounting software (Buildertrend, Procore, or similar)
  • Comfortable working US-Mountain Time hours

Nice-to-Have (Bonus Skills)

  • Experience with Buildertrend software specifically
  • Background in residential remodeling or high-end construction projects
  • Ability to leverage AI or digital tools for estimating and data analysis
  • Prior experience supporting U.S.-based construction companies remotely
  • Spanish language skills (to support subcontractor communication)
