Join a respected Australian real-estate agency and play a key part in ensuring every sale runs smoothly from listing through to settlement.We're seeking a detail-driven Sales Administration professional to manage contracts, coordinate with key stakeholders, and ensure all documentation meets Australian compliance standards.

This is a full-time, work-from-home role supporting a fast-moving Australian team. You'll thrive here if you're organised, proactive, and confident working independently in a professional real-estate environment.

What You'll Do

  • Prepare, process, and manage sales contracts and agency agreements.
  • Ensure all documentation complies with state-based property laws (e.g. NSW Fair Trading, QLD OFT).
  • Liaise with solicitors, conveyancers, lenders, and clients throughout the settlement process.
  • Maintain and update the CRM system (such as VaultRE, PropertyMe, or AgentBox).
  • Generate sales reports, commission statements, and agent performance summaries.
  • Coordinate listing uploads to major property portals , Domain, etc.).
  • Manage sales correspondence and internal communication between agents and clients.
  • Track progress from listing to settlement, ensuring no details are missed and timelines are met.

What We're Looking For

  • 2 + years of experience in a Sales Administration role within the Australian Real Estate industry (required).
  • Strong knowledge of real-estate sales workflows and state-based compliance.
  • Excellent English communication and interpersonal skills.
  • Exceptional attention to detail and accuracy.
  • Proficient in CRM platforms (VaultRE, PropertyMe, AgentBox) and Microsoft Office Suite.
  • Proactive, organised, dependable, and able to prioritise under minimal supervision.
  • Based in the Philippines, available full-time (Monday to Friday, 6 AM – 3 PM PHT).

Nice to Haves (Highly Regarded)

  • Familiarity with REI Forms Live, DocuSign, or Formstack for digital contracts and forms.
  • Prior exposure to listing management, including uploading and maintaining listings on and Domain.
  • Experience using VaultRE, PropertyMe, or AgentBox for CRM and sales tracking.
