Role Overview
The System Operations Liaison is a specialized position that bridges the critical gap between the Systems Operations Team and our core operational departments. This role will be embedded within either the Programs Department or Nurse Experience Department, serving as the essential communication link that ensures seamless project delivery and implementation.
Reporting to both the Systems Operations Manager and the host department director, this position requires an individual who can become an expert and champion of both worlds - deeply understanding the business needs, context, and goals of their host department while maintaining comprehensive knowledge of Systems Operations capabilities and project status.
Key ResponsibilitiesProject Communication and Management
- Maintain real-time awareness of all Systems Operations projects affecting your host department, including delivery timelines, shifting priorities, and potential roadblocks
- Provide daily updates to host department stakeholders and comprehensive weekly reports on project progress
- Serve as the primary point of contact between Systems Operations developers and your host department during project execution
- Anticipate potential issues and proactively communicate risks, dependencies, and resource needs to all stakeholders
- Participate in departmental and inter-departmental meetings as necessary to ensure alignment and facilitate collaboration
Requirements Gathering and Project Submission
- Submit new project requests at the direction of host department leadership (managers and director)
- Participate in all stages of project lifecycle, from initial ideation through documentation, submission, review, and final implementation
- Translate business needs into clear, actionable requirements for the Systems Operations team
- Ensure all stakeholders have the information required to increase production velocity and the quality of our output
Innovation and Opportunity Identification
- Proactively identify automation opportunities and process improvements through observation of host department operations
- Propose new ideas that leverage Systems Operations capabilities to solve department challenges
- Champion both Systems Operations solutions and host department needs with equal expertise
Implementation and Training Support
- Ensure seamless integration of completed projects, including stakeholder training and documentation updates
- Advocate for system improvements and version updates when needed
- Support change management efforts as new solutions are rolled out

- Exceptional verbal and written English communication skills with eagerness to engage all stakeholders
- Ability to clearly articulate complex ideas and drive understanding between technical and non-technical teams
- Comfortable communicating via video meetings, asynchronous messaging, email, Basecamp, and other collaboration tools
Technical Aptitude
- Some experience with technical tools such as programming concepts, APIs, or automation platforms
- Familiarity with tools like Zapier, Zoho CRM, Zoho Desk, Zoho Analytics, Retool, or N8N is a plus
- Ability to understand and communicate technical concepts to non-technical audiences
Project Management Skills
- Strong organizational abilities with keen attention to detail
- Experience in project management or implementation management preferred
- Ability to manage multiple concurrent projects and maintain accurate status tracking
Adaptability and Learning
- Quick learner who can rapidly understand both technical capabilities and business operations
- Proactive problem-solver who identifies opportunities for improvement
- Comfortable working in a dual reporting structure with competing priorities
Minimum Requirements
- Bachelor's degree or higher
- 1-3 years of professional experience
- Experience in project management, operations, or implementation management preferred
- Strong analytical and problem-solving abilities
- Proficiency in modern office software and collaboration tools
- A commitment to continuous improvement and professional development
