Automations Operations & Systems Support OBM

Shift: Monday - Fridays, 9:00 am - 1:00 pm Sydney time (4 hours/day)

Salary: 1000AUD/mo (paid bimonthly)

Overview:

We're a thriving, fast-scaling education business with memberships running smoothly and teachers feeling supported. The growth side of things is on track — now we need to strengthen our operational backbone to ensure continued quality support as we scale.

One of our key team members is going on maternity leave, and we're looking for a proactive, forward-thinking Virtual Assistant who can step into her role while also helping us refine systems and processes for the long term.

This is not just a task-based role. We want someone who can anticipate needs, solve problems on the fly, and think strategically about what's best for our teachers and the business as a whole.

Key Responsibilities:

Platform + System Management

  • Upload new resources into Kajabi and Google Drive, ensuring teachers have seamless access.
  • Monitor and maintain automations (Zapier, Kajabi sequences, workflows) to ensure they're running properly.
  • Keep membership content up-to-date (links, downloads, course modules).

Team Support + Coordination

  • Act as liaison with PDHPE mentors: share resources, schedule sessions, and gather feedback.
  • Provide support with invoicing and school communications during team member's maternity leave.
  • Track teacher engagement and flag members who may need extra support.

Operations + Admin

  • Keep files and folders organised in Google Drive.
  • Record/document processes to ensure consistency and efficiency.

Forward-Thinking & Process Improvement

  • Identify workflow inefficiencies and propose automation/system enhancements.
  • Track member/teacher trends (renewal questions, resource use) and report insights.
  • Maintain a "continuous improvement" list to drive smoother scaling.

Qualifications:

  • Fluent in English (excellent written and spoken communication).
  • Strong problem-solving and decision-making skills — able to act independently without constant hand-holding.
  • Organised, detail-oriented, and able to prioritise tasks effectively.
  • Adaptable and resourceful — comfortable handling unexpected challenges with professionalism.
  • Previous experience in operations, systems automation management, or VA roles preferred.
