It's a professional accounting practice based in South Australia. The firm consists of a team of five members and manages multiple entities, providing accounting and related services to its clients.
About the RoleA full-time Virtual Executive Assistant position supporting our client, the founder, and the company, a growing accounting practice in South Australia. The role involves providing comprehensive administrative support to help manage daily operations efficiently while maintaining high levels of organisation and professionalism.
Ideal Candidate (Must Have Requirements)- Degree qualified with a customer service background
- Minimum 2 years of relevant experience
- Excellent written and verbal communication skills in English
- Strong organisational and time management skills
- Proficiency in Microsoft Office Suite (particularly Outlook, Excel)
- Experience with practice management software (Carbon)
- Ability to work independently and proactively
- Detail-oriented with strong problem-solving abilities
- Employee work setup will be dependent on the client's discretion
Email and Calendar Management
- Monitor and manage email communications through the Carbon system
- Handle calendar management and scheduling
- Coordinate internal and external meetings
- Organise and maintain an efficient calendar system
- Arrange regular travel to the Barossa Valley (every 4-6 weeks)
- Book flights and accommodation for quarterly Melbourne trips
- Coordinate travel arrangements for team members, including staff based in Ballarat who travel to the Riverland
- Manage all aspects of travel logistics, including accommodation bookings and conference registrations
- Assist with website updates and maintenance
- Support social media presence
- Create and distribute newsletters
- Manage online content and communications
- Basic accounting task support (document organisation, uploading to Xero/HubDoc)
- General administrative duties
- Support team of five staff members
- Coordinate with internal team members
- Maintain organised digital filing systems in OneDrive
- Ensure proper documentation of processes and procedures
- Handle sensitive business information with strict confidentiality
