Executive Assistant – Job Description
The Executive Assistant (EA) provides high-level administrative support to executives by handling a wide range of operational, organizational, and communication tasks. This role requires exceptional judgment, confidentiality, and the ability to anticipate needs in a fast-paced environment. The EA serves as a key partner to leadership, ensuring strategic priorities are executed smoothly.
Key Responsibilities
Administrative & Executive Support
- Manage complex calendars, appointments, and travel arrangements for executives.
- Prioritize and coordinate competing demands, ensuring efficient time management.
- Prepare, edit, and format documents, presentations, reports, and correspondence.
- Track action items, follow up on deadlines, and maintain organized filing systems.
- Handle sensitive information with discretion and maintain confidentiality at all times.
Communication & Coordination
- Serve as the primary point of contact between executives
- Draft emails, memos, and other communications on behalf of executives.
- Screen and prioritize incoming messages, requests, and inquiries.
- Coordinate cross-departmental communication to support executive initiatives.
Meeting & Event Management
- Schedule and organize meetings, conference calls, and off-site events.
- Prepare agendas, briefings, and supporting materials.
- Record and distribute meeting minutes and follow up on action items.
Project & Operations Support
- Assist with planning and executing special projects and strategic initiatives.
- Conduct research, compile data, and prepare summaries for executive decision-making.
- Support budget tracking, expense reports, and vendor management.
Qualifications
Required
- Bachelor's degree in business administration or related field.
- Experience as an Executive Assistant or Administrative Role is an advantage.
- Exceptional organizational, communication, and time-management skills.
- Strong proficiency in office productivity tools (e.g., Microsoft Office, Google Workspace, project management software).
- Ability to work independently, multitask, and adapt to shifting priorities.
- High level of discretion and professionalism.
Preferred
- Experience supporting C-suite executives.
- Ability to analyze data and support decision-making.
- Experience as an Executive Assistant or Administrative Role
