UK Bookkeeper

We're looking for a Bookkeeper to support our UK-based client's management accounting and payroll teams
You'll take client submitted documents from DEXT into Xero/QuickBooks, keep ledgers tidy and reconciled, and run client payrolls in BrightPay/Sage. You'll start with close guidance from their Payroll Administrator and Management Accountants and as you demonstrate quality and reliability, you'll liaise directly with their clients and help scale their offshore team.
Duties and Responsibilities:
- Report to the Management Accountants, ensuring fully reconciled bookkeeping is delivered and ready for management accounts. Tasks include:
- Processing purchase invoices and expenses uploaded by clients via DEXT by publishing to Xero/QuickBooks with correct supplier, nominal, tax codes, projects, and tracking.
- Performing timely bank and credit card reconciliations, matching payments to purchase invoices and receipts to sales invoices (usually raised by clients in their accounting system).
- Maintaining clean AP/AR ledgers: chasing missing documents, resolving duplicates, allocating credits, and clearing suspense items.
- Posting journals as directed (payroll journals and depreciation).
- Preparing period-end bookkeeping packs for handover to the Management Accountants (reconciliation summaries, aged AP/AR, and unresolved queries).
- Support payroll processing, beginning with guidance from the Payroll Administrator before moving on to handle client interactions directly. This covers:
- Processing weekly/monthly client payrolls using BrightPay and Sage (starters/leavers, variable pay, and statutory payments).
- Preparing pay runs, reports, and employee documents (payslips and summaries), ensuring RTI submissions/pension files are ready for the UK payroll administrator to approve and file.
- Maintaining payroll checklists, calendars, and control totals, including reconciling payroll to accounting and post-payroll journals.
- Managing a tidy query log, including escalating variances, unusual trends, or compliance flags promptly.
- Develop working knowledge and mastery of the following tools: DEXT (data capture), Xero and QuickBooks Online (accounting), BrightPay and Sage (payroll), Microsoft 365 (Excel, Outlook, and Teams), and Practice Management Software (currently IRIS, but transitioning to FYI).
Requirements:
- Candidate must possess at least a Bachelor's Degree in Accountancy or any accounting related field
- Minimum of 1 year of relevant work experience is required for this position
- Understanding of UK VAT basics (rates, coding, and digital links) and payroll terminology (RTI, auto-enrolment, and statutory pay)
- Certification or proficiency in DEXT, Xero, QuickBooks, BrightPay, or Sage is desirable
- Excellent organizational and time management abilities
- Clear written and spoken English for confident and professional client and team communication
- High attention to detail, ownership mindset, and ability to follow documented SOPs
