Job Summary

Quaerito Qualitas, Inc. is seeking a detail-oriented and experienced Accounts Payable Specialist to support finance operations. The successful candidate will be responsible for processing supplier and vendor invoices, managing expense reimbursements, and ensuring compliance with accounting standards and internal policies. EMEA exposure is highly preferred due to the regional scope of operations.

Key Responsibilities


• Ensure on-time processing of suppliers and vendor invoices including accurate data entry with proper coding, approval, and payments.


• Manage expense reimbursements ensuring control and policies are in place.


• Establish and maintain positive communication and relationships with suppliers, vendors, and employees.


• Resolve invoice discrepancies and liaise with internal/external stakeholders and managers to address invoice, payment, or T/E issues.


• Assist in month-end closing activities, ensuring bank balances and payable ledgers are reconciled and prepare needed accruals.


• Ensure AP processes comply with accounting standards, tax rules, local documentation requirements, and internal policies to be audit-ready at all times.

Qualifications


• Bachelor's degree in Finance, Accounting, Business Administration, or related field.


• Minimum of 3 years' experience in accounts payable or related finance role.


• Strong understanding of EMEA accounts payable practices is preferred.


• Proficiency in financial systems and Microsoft Office applications.


• Excellent attention to detail and organizational skills.


• Strong communication and interpersonal skills.
