We are seeking a highly organized and detail-oriented
Operations Specialist
to support end-to-end operational processes, including order management, logistics coordination, inventory control, and administrative functions. This role plays a critical part in ensuring operational efficiency, seamless communication between the local team and headquarters, and superior service delivery to customers.

Key Responsibilities

  • Prepare and submit shipment forecasts based on sales input and coordinate with the headquarters operations center.
  • Enter customer orders into the C4 system in alignment with signed contracts and communicate order details and shipment schedules to the headquarters team.
  • Monitor and follow up on production scheduling to ensure timely fulfillment and delivery.
  • Support customers in preparing order documentation, managing customs clearance, and arranging transportation during shipment.
  • Maintain accurate shipment records and prepare regular operational reports for monthly, quarterly, and annual reviews.
  • Review and monitor GSP work orders from after-sales engineers, ensuring timely completion and proper documentation.
  • Manage virtual warehouse data and reconcile it with actual inbound and outbound inventory transactions.
  • Conduct warehouse inventory checks and maintain accurate stock ledgers.
  • Oversee logistics and procurement activities, including contract management and coordination with service providers for maintenance, warehousing, and transportation.
  • Initiate and track contract approvals, payment processing, and service documentation in accordance with company policies.
  • Coordinate spare parts applications and collaborate with the headquarters ETS team on inventory and shipment planning.
  • Support after-sales activities, including customer satisfaction follow-ups and reporting.
  • Assist in the planning and execution of local marketing events, team activities, and office operations such as leasing, procurement, and administrative coordination.
  • Ensure operational data accuracy within internal systems and contribute to process improvement initiatives.
  • Collaborate cross-functionally with management, sales, and technical teams to support business operations and service excellence.
  • Perform other duties as assigned by the immediate superior.

Qualifications

  • Bachelor's degree in
    Business Administration, Supply Chain Management, Operations Management
    , or a related field.
  • Minimum of
    3-5 years of experience
    in operations, logistics, or supply chain management.
  • Strong
    verbal and written communication skills
    in English; proficiency in
    Mandarin
    is an advantage.
  • Exceptional
    organizational skills
    with a strong focus on accuracy and attention to detail.
  • Demonstrated ability to work collaboratively with cross-functional and regional teams.
  • Proficiency in Microsoft Office and experience with enterprise systems (e.g., ERP, order management platforms).
  • A proactive, analytical, and solution-oriented mindset with a commitment to continuous improvement.
