This position is responsible for providing assistance to HR specific support, specifically in the administration of HR systems, Recruitment, HR Administration, Employee benefits and for providing day-to-day administrative support to the department.

HR Systems

1. Ensure accuracy of data in HCM system.

2. Updates the HCM Sage system and coordinate with other V.Group offices (Singapore and UK) when needed.

3. Prepares monthly HR Report for Manila office and submits them to other V.Group local office partners.

4. Monitors the completion of LMS courses of all employees.

5. Generates the attendance report from the Attendance Management System (AMS).

6. Maintains the requirements for the local payroll system (HR.Forma).

HR Recruitment & On-Boarding

1. Ensures the complete submission of pre-employment requirements.

2. Prepares and issues Company ID to new hires.

3. Prepares bank referral letter for payroll.

4. Coordinates induction program for new hires

HR Administration

1. Maintains the employees' personal files.

2. Documents all staff movement like transfers and promotions.

3. Prepares regular appointment letters.

4. Prepares salary Review letters.

5. Assists in employee engagement activities.

6. Maintains the employees' leave database.

7. Enrolment and delisting of crewing employees to POEA.

8. Process all the requirements needed for DOLE and POEA renewal for all entities.

9. Prepares the monthly report for OHTC and Finance.

10. Prepares documents for internal and external audit requirements.

11. Source candidates from schools for On-the-Job (OJT) trainees.

12. Handles employee verification requested by external parties.

13. Provides other administrative support to the department.

Employee Benefits / Others

1. Prepares the requests for single employees' medical reimbursement.

2. Coordinates with the Company uniform committee and uniform supplier.

3. Sends the separation clearance form and Exit interview forms to leavers for their completion and submits them to Finance for the final pay computation.

4. Prepares the requests for the salaries of temporary employees.

5. Prepares Quit Claim form and Certificate of Employment requests.

6. Process enrolment, addition and deletion of HMO.

7. Prepares the report/list for the HMO renewal.

8. Coordinates with the HMO coordinator for the Annual Physical Examination (APE).

9. Prepares and process all government mandated benefits for SSS, BIR, Philhealth and HDMF.

10. Updates all signature cards for SSS, BIR, Philhealth and HDMF.

Qualifications:

Bachelors' degree in Human Resources, Psychology or related disciplines

At least 1-2 years' experience in HR function (Comp and Ben, Payroll and Government Contributions)

Familiar with any HCM system. Knowledge of HCM Sage People system an advantage
