Job Title: Full-Time Client Support & Invoice Assistant

Location: Remote

Schedule: 40hrs/week from Monday to Friday at 9 AM to 6 PM Perth time

Rate: 900 AUD/mo. (paid bi-monthly)

Overview:

We're looking for a Client Support & Invoice Assistant who is detail-oriented and highly organized to support our day-to-day client operations. The ideal person enjoys communicating with clients via email, thrives on structure and accuracy, and takes pride in keeping things running smoothly behind the scenes.

Key Responsibilities

  • Client Communication: Respond to client email inquiries in a friendly and professional manner. Use our templates as a base, but ensure all client questions are read carefully and fully answered.
  • Quoting & Invoicing: Prepare and send quotes (8-20 daily) using Excel templates and Google Drive price lists. Create and send invoices in Xero, and follow up on unpaid invoices while keeping records updated.
  • Inbox & Calendar Management: Manage the shared email inbox, tagging Barbara and Bart in relevant messages. Add confirmed (won) jobs to Google Calendar and Google Maps, upload photos, and include project details.
  • Quote & Job Tracking: Follow up on pending quotes (Tuesdays and Thursdays), maintain the quote database, and ensure all information is accurate and up to date.
  • Social Media Content Prep: Download photos from completed jobs via Google Calendar and upload them to Planoly for social media scheduling.
  • General Admin: Support various administrative processes, ensuring all tasks follow established systems and procedures.

Qualifications:

  • Friendly, client-focused, and professional communicator
  • Strong attention to detail and commitment to accuracy
  • Comfortable working with structured processes and timelines
  • Able to multitask efficiently and maintain organized systems
  • Familiar with admin and finance-related tasks (quoting, invoicing, database maintenance)

  • Excel / Google Sheets - for quote templates and data tracking
  • Xero - for invoice creation and payment follow-ups
  • Gmail Suite (Email, Calendar, Docs, Drive) - for daily coordination and file management
  • Canva - for light graphic updates
  • Planoly - for uploading and scheduling social media posts
  • ClickSend - SMS communication (training provided)
