1 JOB OVERVIEW

We are seeking a highly organised and proactive Marketing and Admin Support Specialist to provide reliable and consistent assistance across executive administration, sales support, and marketing functions. This is a full-time remote role (40 hours per week, Monday–Friday) requiring strong attention to detail, excellent communication skills, and the ability to manage multiple tasks efficiently.

The successful candidate will play a key role in ensuring smooth day-to-day operations, supporting administrative needs, and delivering on marketing initiatives.

2 DUTIES AND RESPONSIBILITIES

Executive Administration Support

  • · Manage email and calendars, including scheduling meetings and travel bookings.
  • · Prepare invoices, track expenses, and conduct online research.
  • · Order office supplies and maintain organised records.
  • · Draft correspondence and prepare spreadsheets, reports, and proposals.
  • · Record and distribute meeting minutes.

Sales Support & Market Research

  • Build and maintain databases to support lead generation.
  • Distribute marketing materials to prospects.
  • Issue and follow up on proposals and documentation.
  • Liaise with solicitors, admin staff, and other stakeholders.

Marketing Support

  • Collate, format, and update marketing materials, brochures, and presentations.
  • Coordinate marketing packages and client-facing documents.
  • Support execution of electronic direct mail (EDM) campaigns.
  • Update website content and liaise with external agencies.
  • Assist in social media content coordination and branding initiatives.

3 QUALIFICATIONS AND SKILLS

Education and Experience

  • Bachelor's degree in Business Administration, Marketing, Communications, or a related field (preferred).
  • Minimum 2–3 years' experience in administration, executive assistance, or marketing support roles.
  • Experience with Microsoft Office Suite, Google Workspace, and marketing platforms (e.g., Mailchimp, Canva, or similar).

  • Strong organisational and multitasking ability.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy in work.
  • Ability to manage confidential information with discretion.
  • Proactive and resourceful, able to work independently with minimal supervision.

4 REQUIRED EQUIPMENT

  • Reliable computer or laptop with an at least two monitor/screen
  • Noise-cancellation headset with mouthpiece
  • Clear webcam
  • Stable wired Internet connection, NOT pre-paid wireless modem or dependable on cellular network only.
