General Admin Assistant (Office-Based)

Location: 3rd Floor Plaza Victoria Bldg., Sto. Domingo, Angeles City

Job Description:

We are seeking a reliable and highly organized General Admin Assistant to provide administrative and client support for our Australian-based account. The ideal candidate must have excellent time management and scheduling skills, with the ability to coordinate client communications, manage calendars, and ensure smooth daily operations.

This is an office-based role where you will work closely with the team to deliver quality service, maintain accurate records, and support client requirements in a timely and professional manner.

Key Responsibilities:

  • Manage and coordinate client schedules, calendars, and appointments.
  • Handle email and calendar management across multiple accounts.
  • Maintain and update client information using CRM platforms, including ServiceM8.
  • Process client requests, job bookings, and follow-ups through ServiceM8.
  • Provide administrative support such as data entry, file organization, and document preparation.
  • Monitor deadlines, reminders, and ensure timely follow-ups.
  • Communicate with clients and team members in a clear, professional, and timely manner.
  • Prepare progress reports, job updates, and documentation as required.
  • Support daily client operations and perform additional tasks as directed by management.

Qualifications:

  • Proven experience as a Virtual Assistant, Executive Assistant, or similar role.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in using scheduling and productivity tools (e.g., Google Workspace, Microsoft Office, or similar).
  • Excellent written and verbal communication skills in English.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong attention to detail and problem-solving abilities.
  • Must be willing to work in an office-based setup.

Preferred Skills:

  • Experience in managing client accounts.
  • Knowledge of project management or task management software (e.g., Asana, Trello, ).
  • Prior experience supporting international clients
