MAJOR RESPONSIBILITY

  • Prepares quantitative reports / information based on gathering data on the warehouse operations for all concerned personnel.
  • Ensures proper receiving and releasing of all business documents and correspondences of the warehouse, taking regular inventory of office supplies. Also make sure that every transaction, especially SRS, follows all local requirements and uses proper guidelines. An Admin assistant make sure that every PRF request and CA will have justification and valid reasons.

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Monitors availability of consumable and inconsumable (fixed asset) supplies and materials being used by the warehouse for operations.
  • Purchases / acquires supplies and materials on a monthly basis thru in-house.
  • Records and monitors actual supplies and materials consumption on a weekly basis.
  • Reports to the Warehouse / Store Manager weekly purchasing activity thru Purchase Order or Petty Cash.
  • Maintains cleanliness and orderliness in the working area.
  • Prepare Monthly report such as Canteen Billing, Other Income, Vehicle Monitoring , Icorner,
  • Schedule Scrap Selling Every 2 weeks of the Month
  • Prepare PRF such as Drinking water, Potability test, RFID budget, First Friday Mass, Bday bash ,
  • Schedule Hauler pickup every 2 weeks of the Month.
  • Monitor Meter reading made/ encoded by maintenance.
  • Practices proper decorum as per Code of Conduct and Standard Operating Procedures.
  • Observes punctuality at all times.
  • Performs other related tasks as may be assigned by the immediate superior or the Duty Manager.
  • Preparing and distributing correspondence: Draft emails, letters, and other documents, ensuring accuracy
  • Maintaining office files and records: Organize and update filing systems, ensuring easy access to important documents.
  • Ordering office supplies and managing inventory: Track inventory levels, place orders for supplies, and ensure adequate stock of essential items.
  • Assisting with administrative tasks: Provide support to managers and employees with tasks such as data entry, preparing reports, and managing expense reports.
  • Managing calendars and scheduling appointments: Coordinate meetings, schedule appointments,
  • Handling and monitoring business permit or any kinds of permits
