We are seeking a highly organized and detail-oriented Operations Virtual Assistant (VA) to support the day-to-day operations of a growing business. This role involves managing schedules, coordinating tasks, handling customer inquiries, and providing general administrative support. The ideal candidate will thrive in a fast-paced environment, possess strong communication skills, and have experience with AI tools to streamline operations and enhance efficiency.

Key Responsibilities:

  • Manage the day-to-day operations of the business, ensuring smooth scheduling and task coordination
  • Handle customer inquiries via phone, email, or chat, providing timely and professional responses
  • Organize and maintain customer records, appointments, and service requests in the CRM system
  • Provide general administrative support, including document management and report generation
  • Monitor operational workflows and implement AI-powered tools to automate tasks and improve efficiency
  • Ensure team members adhere to schedules and manage any changes or issues that arise
  • Maintain effective communication with customers and internal teams to resolve issues quickly
  • Analyze operational data and generate reports to identify opportunities for improvement

Mandatory Skills:

  • Native English speaker with excellent verbal and written communication skills
  • Proficiency in using AI tools and software to optimize workflow (experience with AI for operations is a plus)
  • Strong organizational and multitasking abilities to manage a variety of tasks simultaneously
  • Experience with scheduling, customer service, and administrative support roles
  • Ability to work independently with minimal supervision in a remote setup
  • Excellent attention to detail and ability to follow structured processes
  • Comfortable using CRM tools and communication systems

Preferred Skills:

  • Knowledge of AI-powered operational tools and automation systems
  • Ability to quickly adapt to new software and tools
  • Previous experience working remotely and managing tasks in a fast-paced environment
  • Strong problem-solving skills and ability to prioritize tasks effectively
