Good Morning Wines pioneered the introduction of Japanese wines into the Philippines and remains the Philippines' first and only wine merchant dedicated to Japanese wines, engaged in distribution, e-commerce, retail, and bar operations. Role Purpose

Own the conversion layer, turning quotes and demand into clean, reconciled revenue, by running order-to-cash admin (no financial handling or custody), reservations management, e-commerce stock and price control, inventory assurance, dispatch coordination, CRM hygiene, and light events administration.

Key Responsibilities

1. 
Order-to-Cash
(no financial handling or custody)

  • Prepare and send quotes/invoices within 24 hours of trigger.
  • Coordinate official receipt (OR) issuance after confirmed payment; track payments from founder-verified proofs.
  • Maintain AR aging and send polite follow-ups; keep price lists/SKUs current across retail/trade/event tiers (founder-approved changes only).
  • Separation of duties: No cash custody and no bank access. You prepare, track, and reconcile documentation; founders approve and move funds.

2. 
Reservations Management
(TableCheck)

  • Own the TableCheck console during business hours; confirm/decline requests, manage waitlists, resolve conflicts.
  • Maintain daily capacity templates (seatings, time slots, cutoffs); update holiday/closure schedules.
  • Send/monitor confirmations and reminders; apply special notes (occasions, dietary flags, seating requests).
  • Manage no-shows/cancellations per policy; log outcomes to CRM.
  • Coordinate special event blocks and pre-set menus with founders; publish/unpublish event slots as instructed.
  • SLA: Acknowledge and process new reservations within 2 business hours (Mon–Fri, 9am–6pm); guest comms via TableCheck inbox, email, and phone when needed.

3. 
E-commerce Catalog & Stock/Price Control

  • Daily stock sync: reconcile live website stock with the master inventory ledger; unpublish OOS items; republish upon restock.
  • Implement founder-approved price updates only; ensure price parity across website, master SKU sheet, and POS exports within 1 business day.
  • Maintain SKU hygiene (naming, vintage/year, size, ABV, basic info).
  • Run a weekly site audit (broken links, incorrect variants, visible drafts, mismatched pricing/stock); resolve or escalate.

4. 
Inventory Assurance

  • Weekly stock check (remote by default) using photo-verified counts + POS exports; occasional brief on-site verification only as operationally necessary.
  • Document variances/breakage/spillage; maintain FEFO prompts and par-level alerts; log sample-kit withdrawals/transfers.

5. 
E-commerce & Dispatch Coordination
(Shopify; Grab/Lalamove)

  • Book couriers, prepare waybills, track to delivery, and close exceptions with tidy notes; maintain a packaging/supplies checklist.
  • Pre-stage sample kits and small event packs as instructed; log withdrawals and returns.

6. 
CRM & Reporting

  • Log guest/B2B interactions with preference tags and next actions.
  • Deliver a concise Friday ops report: sales by SKU snapshot, stock cover (weeks), AR aging highlights, reservations summary (fills/no-shows), and event notes.

7. 
Events Admin

  • Manage RSVPs/confirmations, monitor payment status, prepare print files (tasting mats/cards), and compile post-event reconciliation packs.

Minimum Qualifications

  • Clear written English; reliable internet; tidy file/version hygiene
  • 1+ year in retail/e-commerce/F&B back-office or operations/admin
  • Invoicing or AR follow-ups, courier bookings, stock counts, and website/admin updates
  • Google Sheets (FILTER, SUMIFS, VLOOKUP/XLOOKUP, simple pivots/data validation)

Preferred Experience

  • POS export-to-physical count reconciliation
  • Basic CRM logging and weekly reporting familiarity
  • Events admin exposure (guest lists, confirmations, simple print files)
  • Experience with a reservations platform (TableCheck, OpenTable, Resy, etc.)
  • Genuine interest and experience in wine/hospitality or Japanese products/culture
  • Possessing integrity, honesty, and sincerity, able to admit and address their own errors
