About the Role:

We're looking for a highly organized and proactive Operations & Admin Coordinator to support our growing in-person services business. This role is ideal for someone who thrives in a fast-paced, dynamic environment and can confidently manage daily operations, invoicing, admin tasks, and marketing support with minimal direction.

You'll play a key role in helping the business streamline operations, manage workflows, follow up on leads, and execute administrative tasks. The ideal candidate will be resourceful, detail-oriented, and eager to take ownership of processes that improve efficiency and help the business scale.

Key Responsibilities:

Operational & Administrative Support

  • Manage and process client invoicing with 100% accuracy and within a 24-hour turnaround
  • Follow up on late payments within a 7-day window
  • Handle day-to-day administrative tasks, including data entry, CRM updates, email management, and file organization in Google Drive
  • Support the implementation of workflows and internal procedures to improve operational efficiency
  • Manage leads and client follow-ups, ensuring timely communication and documentation

Project & Task Management

  • Take initiative to identify and prioritize tasks when leadership is unavailable
  • Follow up with team members or external contacts to ensure completion of pending items
  • Provide minor project coordination support for product or service launches

Required Skills & Qualifications:

  • Proven experience in administrative support, operations, or virtual assistance
  • Strong understanding of invoicing, CRM management, and basic marketing workflows
