Part-Time Notion Project Operations Manager (OBM)

Remote

Salary: $1000AUD/mo (paid bimonthly)

  • Schedule: Flexible within Monday-Friday
  • Preferred availability: 4 hours per day (20hrs/week)
  • Timezone: Overlap with Sydney (AEST/AEDT), ideally between 10 AM-3 PM

About the Role

We're looking for a highly organized and systems-minded Virtual Assistant to help bring clarity and structure to a growing, high-impact business. You'll work directly with the Managing Director to untangle existing workflows, streamline operations, and create accessible systems that support sustainable growth.

The ideal candidate is someone who thrives on order, documentation, and efficiency — someone who can see the big picture while managing the details. You'll play a pivotal role in transforming fragmented processes into smooth, repeatable systems that allow the business to run seamlessly.

Responsibilities:

  • Map and document current business processes to identify duplication, inefficiency, and gaps.
  • Design simplified, accessible systems for project tracking, file storage, and communication.
  • Create and maintain SOPs, workflow guides, and templates for ongoing use.
  • Manage project boards, tasks, and progress tracking in Notion.
  • Coordinate with internal and external collaborators to maintain project momentum and accountability.
  • Assist with onboarding, invoicing, and reporting templates.
  • Support course and content administration through Thinkific and Notion.
  • Consolidate client records and workflow documents into a single source of truth.
  • Implement basic automations using Google Workspace integrations.
  • Deliver weekly progress reports and suggest system improvements monthly.

Qualifications:

  • Experienced in systems thinking, process mapping, and workflow optimization.
  • Skilled at documenting SOPs and operational frameworks.
  • Strong written communicator — clear, structured, and professional.
  • Tech-savvy and comfortable learning new tools quickly.
  • Highly organized and analytical, with strong attention to detail.
  • Able to work independently and prioritize effectively when handling multiple tasks.
  • Familiarity with CRM setup and maintenance is a plus.
  • Comfortable managing sensitive business information with discretion.
