Job Purpose

  • To manage overall building operations and facilities maintenance on a day to day basis. This includes regularly reporting to Principal Officers of Ayala Malls Group on the status of the physical and financial condition of the property.
  • To ensure that the company objectives and strategies on property maintenance and enhancement of property values are implemented at the managed mall.

Duties and Responsibilities

Department's role is to manage malls developed by Ayala Land, Inc. It provides technical consultancy and property management expertise and services throughout the lifecycle of the project development as well as after sales services.

  • Inspect different areas of the property, along with Building Engineers and contractual supervisors
  • Renewal of preventive maintenance contracts
  • Renewal of government permits
  • Coordinate Fire/Earthquake and other safety Drills
  • Prepare and update plans for response to and recovery from emergency and disaster conditions
  • Shares in the responsibility for the Business Continuity Plan of the company
  • Sign checklist/ building forms
  • Implement House Rules or Regulations
  • Ensure efficient problem reporting and complaints handling
  • Conduct tenant / merchant calls
  • Send out circular/ memo regarding new rules to be implemented or any upcoming events
  • Send out survey forms
  • Prepare operating and capital expenditure budget
  • Monitor income and expenses of the property to ensure that they are within budget
  • Minimize project costs and ensure quality of work by careful selection of contractors
  • Solicit proposals and/or bids from equipment suppliers and make recommendations for optimal selection
  • Come up with cost reduction measures through Enercon and Water Conservation Program
  • Request for Payment (RFP) Monitoring (Ensure accurateness of invoice received)
  • Petty Cash Replenishment
  • Coordinate with staff regarding building concerns
  • Attend Staff Meeting/DCM/Mall Presentation
  • Management of Personnel Assigned in the Property
  • Manager on Duty
  • Property Management Services (Administrative Services, Financial Administration, Contract Services Administration, Technical Services)
  • Technical Consultancy (Pre-design Phase, Planning and Design Phase, Construction Phase, Post-construction Phase)

Knowledge & Experience Required

  • Graduate of Engineering courses (ME, CE, EE)
  • Licensed Engineer
  • MBA units / degree is an advantage
  • Two to three years relevant experience in Property/Building Administration/Facilities Management
  • Basic accounting skills
  • Customer driven
  • Basic knowledge on technical matters
  • Negotiation & Persuasion strategies skills
  • Good command of the English language (oral and written)
  • Critical thinking skill; good judgment and decision
