Secretary – Office of the Chief Operating Officer

The Secretary under the Office of the COO provides administrative, analytical, and coordination support to ensure the smooth execution of hospital operations and executive priorities. The role goes beyond clerical tasks—requiring initiative, attention to detail, and analytical capability to assist the COO in monitoring projects, preparing reports, and supporting decision-making processes.
Key Responsibilities:
- Provide administrative and operational support to the Chief Operating Officer.
- Coordinate and track ongoing projects, reports, and operational performance indicators.
- Prepare, consolidate, and analyze data and reports for management review.
- Assist in drafting presentations, executive summaries, and communications.
- Manage the COO's calendar, schedule, and meeting arrangements.
- Record, monitor, and follow up on action items from meetings and directives.
- Maintain organized and confidential filing systems, records, and documentation.
- Liaise with department heads to gather updates, data, and operational information.
- Support process improvements and assist in research or benchmarking activities as assigned.
- Perform other related duties as may be required by the COO.
Qualifications:
- Bachelor's Degree in Business Administration, Management, Industrial Engineering, Office Administration, or any related field.
- At least 1 year of experience in an administrative, coordination, or data support role, preferably in a hospital or corporate setting.
- Strong analytical and reporting skills; comfortable working with data and spreadsheets.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with Google Workspace or data visualization tools is an advantage.
- Excellent organizational and time-management skills.
- Strong attention to detail and ability to handle multiple priorities.
- Professional demeanor, confidentiality, and good communication skills.
